Client Management

Client Details

From this screen you can:

  • Search the database, export data and import data in a tab delimited format.
  • Select only the database column/columns you wish to return( for example email address)
  • Store common search queries that can be shared with other MoST administration account holders.
  • New clients can be added individually and details edited for each profile.
  • Search results are filtered unless you clear the search before performing a new one
  • Additional instant filters are available from the check boxes if the relevant component is being used.
  • Store communication information against a users profile
    • Email profile
    • Phone profile (When used with DIGITAL PBX system)
  •  Search results can be exported. Select export to have these details emailed


 

To Search the database

Enter search query details by following the steps below:

  1. Search where: search by any one of these criteria.

  1. Select a search method from the drop down box:
    • is equal to (exact)
    • not equal to (exact)
    • like (similar)
    • not like (similar)
    • less than
    • greater than
  1. Enter your search value (for example first name, is like, John). When searching on dates you can also use the keyword TODAY which will search for profiles based off today's date.  This is useful when you intend on saving the query for future use.  You can also add or subtract days from the TODAY keyword, such as TODAY-7 will find profiles seven days prior to today or TODAY+7 will find profiles with a date seven days after today.
  2. Select search results order from the drop down boxes:
    • Ascending (0-9 or A-Z, earliest to latest)
    • Descending (9-0 or A-B, latest to earliest)

To return all clients within the database: Search where ID is greater than 0

  1. Selecting Columns will bring up the columns screen which allows you to select the columns you would like to display in results. Hold down Ctrl to select multiple columns
  2. Further search filters can be applied by selecting profile types from:
    • Subscriptions
    • Contacts
    • Events
    • Sales
    • Staff
  1. Select the search button to return results.
  2. If you wish to refine the search enter a the new search criteria (for example Last Name like Brown) and search again.
  3. If you wish to start a new search (not based on the results of a previous search), select clear and start again

New clients can be added to the database manually, by selecting new to bring up the profile details screen..

 

When results have been brought back from a search the clients profile can be seen by selecting the profile icon before the clients name in the results list.

 


 

Communication

Communication Information can be added to certain fields in a profile by selecting profile icon beside that field. This will bring up the communication details.

For example email addresses and phone number fields.


Communication details can be recorded manually against a profile.

Stored Queries


This screen allows for queries that are commonly used to be stored so that they can be easily accessed

To save a query

  • Select the queries button to open the stored queries screen
  • Select New
  • Enter a query name and description
  • Select the Share tick box if you wish others to use, but not change, the stored query
  • Select OK

If you wish to delete the query select it from the drop down list and delete

To perform a query from the Client Details screen:

  • Select Clear
  • Select Queries
  • Select the required query from the drop down list
  • Select OK

Note: Column settings are not saved along with the query.

To import Data

  • check your data is formatted correctly in excel. eg each piece of data is in its own cell.
  • Check your current MoST management fields – accessories/ client management/ manage management fields and create the fields you want in the data base. Some of these are already predefined such as first name, last name, email, and organisation.
    • Add in any extra fields you may wish to have in your database
    • Please note also if you are wanting to put in a subscription type, please placed the subscription type in this format ‘subscription code’
  • Check your current data (excel file) and make sure all column names match exactly what is in the client management database eg last name, must be last name in the spreadsheet
  • Once you are happy with your data, you will need to save the data as a tab delimited file

 


 

  • Once this file is saved, it is ready to be imported into the client management database.. simply click import
  • Locate your tab delimited file and hit import. You will receive an email notification of the data transferred and any errors that may have occurred (should be none, if data was formatted correctly)
  • Check data by searching the database to see if you are happy with your import
  • Repeat if necessary
