Email Event List


To email anyone who has registered an interest in this event

  1. If you want to send correspondence other than the event details, create a new MoST document containing your message.
  2. Select the event.
  3. Select who you wish to email:
    • Attendees - All registrants marked as attended (the event is over).
      Note, registrants need to be manually set as having attended an event.
    • Registrations - All registrants except those marked as waiting or attended.
    • New Registrations - Recently registered, since the last email sent (Specifically excludes those registrants marked as attended).
      For example, this can be used to send a registration pack.
      After sending an email to a new registrant, the "New" flag will be removed from the registration so as not to include them in future emails intended only for new registrants.
    • Waiting Registrations - People who have been wait-listed if 'allow overbooking' is selected when the event is loaded.
      Note, these waiting registrations must be manually approved in the registrations list screen to be registered.
    • Unpaid Registrations - All registrants that have yet to pay the invoice for their registration.
      This will exclude any free registrations or waiting registrations as neither will have been issued an invoice. An invoice is only created for wait listed registrations when they are moved from the waiting to approved.
    • Unregistered - All profiles that have selected the event category* or categories* that match those set against the event but have not registered for the event.
    • Everyone - This will be anyone who opted to receive correspondence about this event based on their chosen categories*.
  4. Enter who the email is to come from, (and be replied to) in the Name Field (may be auto populated with the details of the currently logged in user).
  5. Enter this email address.
  6. Enter an email subject.
  7. Select the MoST document you created in step 1, or alternatively just the event details page.
  8. Select a send-on date and time.
    Note,
    if no date and time is entered it will be queued for immediate distribution.

*Categories:

  • When events are loaded, categories are assigned to the event.
  • These categories appear on the registration form, so the user can elect to un-check them if they don't want to receive notifications of similar events in this category. 
  • Categories can be created from the Event Settings Screen and can be viewed as part of the client's profile.

Note, It is recommended to have a simple email template for correspondence other than the event details, as the website navigation is not necessary in an email.
