Subscription Types

From this dialog window subscription types are created and maintained for client subscriptions, provided you have the required administration permissions. 

If a subscription type is set as Hidden it will not be displayed on any subscription forms but can still be selected against a profile under Client Details.

Subscription types can be grouped together using the Group text field, any subscription type that has a group name specified will be grouped together with other subscription types that have that same group name.  The Display Order is used to define the order to display a subscription type within the define group.  Grouped subscription types use radio buttons for selection, by a user, so only one can be chosen however if a group only has one subscription type then a check box is used instead.

A group of subscription types can also be set as optional, this allows the user to select a compulsory subscription type when applying for membership and also optionally select additional subscription types or add-ons.  If there are no compulsory subscription types on the form then at least one optional subscription type is required to be selected by the applicant as a subscription type is always required.

Fee

The "Fee" is only charged for new subscriptions and will not be used for renewals.

Individuals

Individuals are charged at an individual level, only the Fee, New Charge and renew Charge prices are used.  Invoices are addressed to the individual using their personal details unless Invoice Organisation is checked against their profile.

Corporate / Organisations

Organisational members are charged in various ways. They can be charged a Free, a New Charge and a Renew Charge.  Invoices are addresses to the organisation.

Corporate / Organisations with Relations

There are several options with relationship charging.


Max Relations

The organisation is charged for the maximum number of specified relations that their membership supports regardless of how many physical profiles are related to the organisation and is charged using the value defined in Relation Charge multiplied by the number of specified relations.

If the organisation has a maximum of 100 relations specified and has 75 profiles related to the organisation and the Relation Charge is set to $50.00 Then the organisation would be charged $5,000.

In the event that the organisation has more profiles related it to than is allowed, the additional profiles are added to the total number of allowed profiles.  Lets assume that the organisation is only allowed 100 relations but somehow the organisation has 150 profiles related to it, instead of the organisation being charged for 100 relations they would be for 150.

Overflow Relations

This charge implies that the new / renewal subscription rate includes a defined number of relations, therefore the organisation is only charged for the number of related profiles that exceed the maximum number of allowed related profiles.  Although this may sound like it achieves the same outcome as Max Relations, the invoice is presented in a different way.  The invoice only displays the subscription rate unless the number of profiles exceeds the maximum allowed at which case they are then appended to the invoice as a separate line item.  If the subscription rates are 0 (zero) then the organisation would only be invoiced in the event that the number of profiles exceed the total allowed and would only be charged for the additional profiles.

All Relations

The organisation is charged based off the number of profiles related to it.  If the organisation only has one, then they are charged for a single relation, if they have 53 then they would be charged for 53.

Subscribed Relations

The organisation is charged for all related profiles that don't have a subscription type at the Relation Charge rate.  The organisation is also charged for any related profiles that have a subscription type at the rate defined for the related profiles subscription type. Lets assume the organisation has 53 related profiles that aren't members and 2 related profiles that are members, charged at $150.00 each.

Subscribed Relations Only

This is a setting that can be applied to all of the different relation charges outlined above.  If the checkbox is ticked then only related profiles that have a subscription type are used to determine the number of profiles to charge for.

Note If the organisation also has a new / renew subscription charge this will also be added to the charges applied to the organisation.

Subscription Rates do not appear on the online Subscription Form, if the hidden check box is ticked.

To create a new rate:

  1. Select New
  2. Enter a Code
  3. Enter a description - this is what will display on the screen, so the user can identify the charge
  4. Enter New Charge - Initial charge
  5. Enter Renew Charge - Set same as new charge if charge is not changing. If the charge changes after initial membership has expired then enter this amount
  6. Select Hidden - Only applicable if this charge is not to appear on screen
  7. Select Permissions - To whom this charge will apply. Multiple sections can be selected by holding down the control key
  8. Select Apply to create the Subscription Rate

To change a rate:

  1. Select a code from the drop down list.
  2. Edit description if required - this will display on the screen so the user can identify the charge
  3. Enter New Charge - Initial charge
  4. Enter Renew Charge - Set same as new charge if charge is not changing. If the charge is required to change after initial membership has expired then enter this amount
  5. Select Hidden - Only applicable if this charge is not to appear on screen
  6. Select Permissions - To whom this charge will apply. Multiple sections can be selected by holding down the Ctrl key
  7. Select Apply to save the changes

To delete a Charge:

  1. Select the Charge Code that you wish to delete
  2. Select Delete
  3. Note that a charge cannot be deleted if permissions are set
 Note

If there have been subscriptions that have used the Subscription Rate that you are trying to delete then the system will not delete these Subscription Rates and an error will be shown.
